About the Role We are currently looking for a Site Coordinator to join the Operations & Maintenance (O&M) team. This role provides administrative and operational support to the O&M organization, ensuring the efficient coordination of daily site activities and supporting the transition from the construction and commissioning phases into long-term operations.
The Site Coordinator will work closely with the O&M Manager, site personnel, and cross-functional teams to support logistics, documentation, reporting, travel arrangements, training coordination, procurement administration, and other day-to-day operational activities. The role will also provide administrative support for project close-out activities and facilitate a smooth transition to the O&M phase.
Key Responsibilities
Provide day-to-day administrative support to the O&M team and site management.
Coordinate meetings, prepare agendas, take meeting minutes, and distribute meeting records as required.
Support document control activities and maintain accurate project and O&M documentation.
Assist with the preparation, filing, and maintenance of operational records, reports, and trackers.
Support the administration of work authorization and Permit-to-Work (PTW) documentation where required.
Maintain and update asset tracking records and other operational databases.
Coordinate travel, accommodation, and logistics arrangements for site personnel.
Arrange training courses and maintain training records for O&M personnel.
Process invoices and support purchasing activities through the Company's finance and procurement systems.
Liaise with Procurement regarding the sourcing and delivery of tools, equipment, and office/site consumables.
Support reporting activities, including the consolidation of weekly and monthly operational reports.
Coordinate interfaces with internal departments and external stakeholders as required.
Assist with the preparation and organization of documentation required for the transition to the operational phase and project close-out.
Provide general administrative support to the O&M team and undertake other duties as assigned by the O&M Manager.
Preferred Qualifications & Experience
Diploma or bachelor’s degree in business administration, Engineering Administration, or a related discipline.
2–5 years of administrative or project support experience, preferably within the energy, construction, engineering, or offshore wind industry.
Strong organizational and coordination skills with the ability to manage multiple priorities.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Experience with document management systems and ERP systems (e.g., Dynamics 365, SAP) is an advantage.
Good communication skills in English and Mandarin.
Ability to work independently as well as collaboratively within a multidisciplinary team.
