O&M Site Coordinator

About the Role
We are currently looking for a Site Coordinator to join the Operations & Maintenance (O&M) team. This role provides administrative and operational support to the O&M organization, ensuring the efficient coordination of daily site activities and supporting the transition from the construction and commissioning phases into long-term operations.

The Site Coordinator will work closely with the O&M Manager, site personnel, and cross-functional teams to support logistics, documentation, reporting, travel arrangements, training coordination, procurement administration, and other day-to-day operational activities. The role will also provide administrative support for project close-out activities and facilitate a smooth transition to the O&M phase.
 

Key Responsibilities

  • Provide day-to-day administrative support to the O&M team and site management.
  • Coordinate meetings, prepare agendas, take meeting minutes, and distribute meeting records as required.
  • Support document control activities and maintain accurate project and O&M documentation.
  • Assist with the preparation, filing, and maintenance of operational records, reports, and trackers.
  • Support the administration of work authorization and Permit-to-Work (PTW) documentation where required.
  • Maintain and update asset tracking records and other operational databases.
  • Coordinate travel, accommodation, and logistics arrangements for site personnel.
  • Arrange training courses and maintain training records for O&M personnel.
  • Process invoices and support purchasing activities through the Company's finance and procurement systems.
  • Liaise with Procurement regarding the sourcing and delivery of tools, equipment, and office/site consumables.
  • Support reporting activities, including the consolidation of weekly and monthly operational reports.
  • Coordinate interfaces with internal departments and external stakeholders as required.
  • Assist with the preparation and organization of documentation required for the transition to the operational phase and project close-out.
  • Provide general administrative support to the O&M team and undertake other duties as assigned by the O&M Manager.

Preferred Qualifications & Experience
  • Diploma or bachelor’s degree in business administration, Engineering Administration, or a related discipline.
  • 2–5 years of administrative or project support experience, preferably within the energy, construction, engineering, or offshore wind industry.
  • Strong organizational and coordination skills with the ability to manage multiple priorities.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience with document management systems and ERP systems (e.g., Dynamics 365, SAP) is an advantage.
  • Good communication skills in English and Mandarin.
  • Ability to work independently as well as collaboratively within a multidisciplinary team.
